How do you compare configurator proposals with different scopes?
Normalize configurator proposals by product coverage, outputs, integrations, exclusions and acceptance evidence before comparing totals.
Table of contents
Compare configurator proposals by rewriting them against the same deliverables before comparing their totals. One offer may include model preparation and a working integration; another may include only an embedded viewer. A lower headline amount does not establish which proposal provides better value for your business.
Create a scope reconciliation sheet
List the product families, dimensional rules, commercial calculations, user roles and required documents. For each supplier, record included, excluded, optional or awaiting clarification. Keep those states separate. A feature mentioned during a demonstration is not necessarily included in the proposed implementation.
Use your own terms. “ERP integration” is too broad if your actual need is creating a configured order with line-level item references, then receiving an acknowledgement. Ask each supplier to describe that transaction in comparable language.
| Scope item | What makes the comparison meaningful |
|---|---|
| Product models | Number, preparation work and agreed detail |
| Product rules | Supplied source, implementation and testing |
| Price calculation | Inputs, currencies and approval boundaries |
| Integration | Direction, fields, acknowledgement and recovery |
| Support | Included work and excluded catalogue changes |
Price the gaps without inventing precision
A missing item should become a clarification or an option, not a guessed amount inserted by the buyer. Ask the supplier to confirm the additional work or state that it remains outside scope. Compare the commercial consequence of a required omission separately from a desirable future improvement.
Consider a proposal that includes an enquiry email and another that includes a CRM record. If your sales process requires the record, ask the first supplier to include it. If email is sufficient, do not credit an integration your team does not intend to operate.
Apply one common acceptance exercise
Give each supplier the same valid configuration, invalid combination and downstream output. Request evidence of the working result and identify anything shown only as a design or future phase. This makes differences visible without relying on subjective scores for impressive demonstrations.
For Configurix, bring this reconciliation sheet to the requirements discussion. Custom software can be scoped around your factory, but the quotation should identify the actual product rules, material outputs and system connections requested.
Should we choose the proposal with the most features?
Choose the scope that serves your required workflow and can be maintained. Additional features create value only if your users need them and your business can operate them.
How should an unresolved integration be compared?
Record it as unresolved, with an owner and a method for establishing feasibility and cost. Do not treat a general API claim as an accepted integration deliverable.
